SUMMARY You are responsible for,
- documentation of allocated project/s in accordance with direction,
- drafting of project specifications
- coordination of consultant documentation,
- compliance with DMG Architecture templates and standards in
documentation,
- comprehensive understanding of and compliance with AS, NCC, DDA
and other relevant legislation.
PEOPLE RELATIONSHIP DMG Architecture, DMGC, DMG Administration, Clients, Authorities,
Consultants and Contractors.
PEOPLE MANAGEMENT

YOUR RESPONSIBILITIES
STAFF DEVELOPMENT / MANAGEMENT (HR & TRAINING)
PERFORMANCE REVIEW - Submission of self assessment in half-yearly performance review
- Participate proactively in staff performance review process
REGISTRATION AND
CONTINUING PROFESSIONAL
DEVELOPMENT (CPD)
- Identify and undertake CPD in order to maintain qualifications.
- Advise PM of CPD seminar and training opportunities.
TRAINING - Identify training needs that will enhance individual's contribution to
DMG.
MENTORING / STAFF
RELATIONSHIPS
Informal
- Conduct informal mentoring and make self available in assisting direct
reports to develop in their positions.
- Ensure that relevant information is communicated to direct
reports/consultants enabling them to effectively carry out their
functions.
- Ensure when delegating tasks to direct reports that they have the
appropriate skill, knowledge and ability.

- Ensure all project documentation is held within set filing structure.
- Transfer pertinent email attachments to set filing structure.
- Scan hard copy documents to set filing structure.
- File all emails (received and sent) within project folder in the email
server.
- Ensure all documents are saved in accordance with DMG document
naming policy
- Ensure all sensitive hard copy information is shredded when no longer
referred
DMG DATABASE &
TIMESHEETS
- Complete timesheets in DMG Database on a weekly basis (by Friday)
or as otherwise requested.- Record plotter usage in DMG Database.
PHOTOGRAPHIC RECORD - Maintain photographic record of works when attending site.
- File in appropriate location on DMG server.
BUSINESS DEVELOPMENT & CLIENT MANAGEMENT
BUSINESS DEVELOPMENT - Actively undertake business development initiatives (eg. attend
industry functions, client functions, maintain industry
contacts/networks).
- Maintain memberships in appropriate industry associations and
groups.
- Maintain a professional profile within the architecture industry.

PROJECT TENDERING - Assist in preparation of response documentation to tender
opportunities.
MARKETING & BRANDING - Act as a DMG brand advocate.
- Ensure consistency in materials and branded templates in accordance
with DMG Corporate Guidelines.
- Ensure consistency in produced documentation with the DMG
Corporate Guidelines.
CLIENT RELATIONSHIP MGT - Provide a positive contribution to DMG/Client relationship.
DMG ARCHITECTURE ENGAGEMENT & CONTRACTING
FEE PROPOSAL - Understand scope of fee proposal.
- Have an understanding of project profitability during project.

- Understand the scope of the Client & Architect Agreement
CONSULTANT ENGAGEMENT & MANAGEMENT
TENDERING &
RECOMMENDATION
- Assist the PL in tendering consultancy works.
- Assist the PL in assessment of tender proposals received and drafting
of recommendation of 'preferred' consultant to the client.
ENGAGEMENT / VARIATIONS - Assist the PL as required.
CONSULTANT MANAGEMENT - Retain and file all consultant correspondence in accordance with DMG
Architecture policy.
- Maintain a written record of consultant conversations and meetings.
- Undertake regular written correspondence and briefing of the
consultant team.
- Understand consultant scope of engagement.
- Ensure timely transmission of consultant documentation to project
team (eg. other consultants, contractor).
INVOICING -
PROJECT DELIVERY
PROJECT SCOPE - Attend project start-up meeting and ensure clear understanding of
project scope.
- Ensure amendments to project scope are updated within project
scope document and advised to the PM/Assoc.
- Ensure approved amendments to the project scope are disseminated
to project team through regular project meetings.
- Only commence works on an amended project scope following
confirmation of client approval of varied fee.

PROJECT ESTABLISHMENT &
DELIVERY
- Ensure an understanding of and commitment to both the project
program and documentation delivery program and as it is varied from
time to time.
'SAFETY IN DESIGN' REPORT - Assist the Project Leader in preparation of a comprehensive 'Safety in
Design' for each project.
DOCUMENTATION - Ensure all architectural documentation is completed in accordance
with DMG Architecture templates and standards.
- Ensure all architectural documentation is completed in compliance
with industry codes and standards.
- Ensure all amendments to the agreed design are documented.
- Ensure all consultant documentation is coordinated with the
architectural documentation.
- Work with project team to ensure delivery of documentation in
accordance with directions given by the PM/Assoc/PL.
DOCUMENT CONTROL - Ensure all project documents are saved/named in accordance with
DMG convention.
- Ensure working within the implemented DMG Architecture filing
structure.
- Ensure documentation issued from DMG Architecture in accordance
with established templates to maintain consistency.
- Ensure all architectural documentation is issued with transmittal
documentation.
- Ensure all architectural documentation is issued with appropriately
completed title block (ie. numbering convention, revision, issue type).
- Ensure all contract administration processes are being undertaken in
accordance with DMG Architecture templates.
- Responsible for their own and reporting project staff implementation
of document control systems and as amended from time to time.
PROJECT DELIVERY (CONSTRUCTION PHASE)
DOCUMENT CONTROL - Ensure implementation of document control systems during contract
administration & defects liability period.
- Ensure information contained on the FTP site remained 'current issue'
only and is removed following project completion.
- Ensure all pertinent correspondence and documentation is recorded
on the DMG server (including email correspondence).
CONTRACT ADMINISTRATION - Understand and implement Contract Administration templates and
procedures.
- Ensure implementation of DMG Contract Administration templates
and procedures.
- Assist in drafting of construction contract for PM/Assoc. review.
- Assist in preparation of documentation (eg. Payment Claim

Certificates, Variation Orders, EOT Claim Approvals, RFIs responses,
other notices and contractual correspondence) for PM/Assoc./PL
review.
- Ensure adequate photographs of works are taken when attending
project sites so as to represent a general understanding of the status of
the project works and demonstrate/record quality of construction.
- Undertake site visits and attend site meetings on an as required basis
to review status of the project works and maintenance of set quality of
construction.

to enhance knowledge base within the DMG Architecture practice and
implementation of the same.
EXPERIENCE & QUALIFICATIONS
INDUSTRY EXPERIENCE + 5 yrs industry experience
+ 1 yrs in role
TERTIARY - Architectural qualification, drafting qualification
